Applications will be made to EU & International Relations Office after getting approval from Departmental Erasmus Coordinators or Training Coordinator.
Evaluation will be made regarding invitation letters provided with applications, the number of application, balance between departments; the list of permanent and substitute applicants will be announced by Coordinatorship.

The invitation letter indicating the duration of placement for students and the branch of the internship taken from higher education institution, enterprise, private/formal institution in which placement will take place (it has to have Erasmus University Charter for "Extended" or "Placement Only")

4. Certificate of Foreign Language Proficiency*
* Result of Proficiency exam prepared by Atılım University Preparatory School is accepted. The grades of KPDS and ÜDS will be valid instead of Proficiency exam. In addition to these, the following statement will be based for equivalency of results of English language exams conducted by various institutions and organizations abroad.
GENERAL PROVISIONS:
The higher education institution has to have Erasmus University Charter for "Extended" or " Placement only" in order to take part in Erasmus mobility for student placement.
Activity is that a student registered in a higher education institution undergoes internship in an institution or organization abroad. "Internship (placement)" is a practicing process in which a beneficiary can take vocational training and/or working experience in another country participating in the program. Erasmus placement activity is not used for research assignments, analysis regarding the academic studies within the context of a specific education program. Internship activity is that a student would achieve practical experience in her/his vocational education field.
It is not expected that internship activity is compulsory for certificate program of student. However, economic sector in which internship is undergone will be a related sector with current vocational education program of student.
Activity period for undergraduate, postgraduate and doctoral students is a period between 3 and 12 months. Minimum period for higher education students such as vocational high school ones can last between 2 and 12 months.
Hosting institutions can be other institutions answering to the description of enterprises, education centers, and research centers. Within this framework, an appropriate institution means the enterprise engaged in all kinds of economic activities included social, economic activities with private or public agency and institute regardless of their legal status or economic sector in which they operate.
On the condition that abroad institution in which internship is undergone is a higher education institution, because the institution to go will be evaluated as an enterprise, having Erasmus University Charter is not stipulated.
It is compulsory that the activity of student mobility should be started before June 30, 2013. Internship activities that last less than 3 months can start later than this date in accordance with the rule of being at least 2 months for the duration of associate degree students. It is a condition that all mobility activities have to be completed as of the date of September 30, 2013. Activities have to be substantiated in the 2012/2013 academic year; any activity supported within this agreement cannot pertain to 2013-2014 academic calendar.
Coordinatorship allocates the donation amount in the case of the assigned donation remains incapable for sending potential beneficiaries by taking into account of department, destination country, balance between female and male, the ratio of agreement numbers of faculty and/or departments and performances of faculty and/or departments by making positive discrimination to the department not having mobility activity before.
Which institutions can students make internship?
· The sector in which internship will be undergone should be a related sector with current vocational education program of student.
· It is not necessary that an agreement has been signed between departing institution and university. The student applied to placement mobility would provide agreement personally with an institution related to her/his field in the EU countries .
· Hosting institutions for internship can be enterprises, educational centers, research centers, public and private institutions answering the description of enterprise.
Which institutions are not "suitable" for internship activity?
The EU institutions and the EU agencies, organizations which is grantee for conducting the EU programs and our Diplomatic missions in hosting state.
MINIMUM PROVISIONS FOR ERASMUS PLACEMENT MOBILITY
1. Providing the provision related to nationality of beneficiary is a base.
Being a citizen of Republic of Turkey,
Despite being citizen of foreign countries, being a registered student in higher educational institution in Turkey
2. Following provisions have to be provided in pursuit of this provision.
· Being a full-time student registered to a higher education program on any of the formal education grade (first, second or third grade) within university
· Being 2.2/4 of the cumulative academic grade point averages of associate degree and first grade student
· Being 2.5/4 or 75/100 of the cumulative academic grade point averages of second or third grade students
3. Unlike mobility with the aim of education, provision of being at least second grade is not required in internship activities.
4. Academic grade point averages in the first semester of first grade students is taken into consideration.
5. A student can benefit from Erasmus placement activity only once. A student took a donation for placement mobility in any previous academic year cannot benefit from Erasmus placement mobility activity even if she/he would not get donation. Benefiting from educational mobility for once does not restrain from participating in internship mobility once. However, priority is given to student not benefitting from Erasmus activity before.
6. Student selection is substantiated by means of determining the Erasmus students getting high points by taking evaluation criteria and weighted scores into consideration. It is not differentiated the institution where internship will be undergone is determined by higher education institution or by student, students getting the maximum points are selected within budget quota. While the applications for placement mobility are evaluating, the evaluation criteria and weighted scores are as follow:
Academic Achievement Level 55%
Foreign Language Grade 45%
7. The subject and tasks of the internship have to be related with the current education field of student. Students of all departments have right to benefit from Erasmus internship without differentiating whether students have responsibility for compulsory internship.
8. A bilateral agreement is not required between higher education institution that is consignor in student placement and hosting enterprise in terms of the agreements that will be signed. Particular student placement agreement between parties will be binding.
Reasons such as receiving disciplinary punishment or retaking a failed course do not prevent students benefitting from Erasmus program.
In case the duration of mobility is less than minimum duration (2 months for associate diploma program, 3 months for undergraduate and postgraduate ), any donation payment is not rendered, the student is reported as student without donation and she/he cannot benefit from Erasmus program again.
In case student returns earlier from the planned mobility activity period because of force major (compelling reasons such as familial, health reasons, natural disaster), the overpaid donation is reclaimed on condition that the donation amount paid for the period when student is abroad is left to student.
Documents have to be submitted before going
· Internship mobility agreement and its attachments signed with student
· Academic Approval Form (the document proving the internship is recognized with ECTS credits; regarding the internship that student make is deemed valid in her/his University or attached to Diploma Supplement )
· Training Agreement and Quality Commitment (can be reached from Forms title of Erasmus web-site): It has to be received signed and sealed from counter party.

Training Agreement and Quality Commitment
Erasmus students entitled to benefit from Erasmus internship mobility should prepare detailed working schedule of their internship studies with Departmental Erasmus Coordinators or internship institution together. Working schedule should cover the whole duration of internship. Training Agreement also includes skills, competence, qualified instructiveness and validity (ECTS).(Corresponding document can be found under the title of Training Agreement and Quality Commitment in Forms on Erasmus web-site ). Departments have right to be deemed valid or invalid the Erasmus internship in substitution for compulsory internship in the departments having compulsory internship.
Training Agreement should be three copies as approved by all parties including Departmental Erasmus Coordinator, Erasmus Institution Coordinator, authorized person for internship and student; a copy remains with the student, one is delivered to Erasmus Office, the other resigned to Departmental Erasmus Coordinator.
Documents have to be submitted after returning
· The certificate representing the success evaluation of internship period
· Signed and sealed certificate of attendance
· Final Report Form of Internship Mobility
· Photocopy of Passport Entry-Exit stamps
DONATIONS:

· In case of being up to 12 months (12nd week included), 75 % costs of trip abroad (connecting travels included) is paid to student. (3months does not equal to 12 weeks; in case of exceeding 12 months, turning of 3rd month is calculated.)
· Weekly donation accounts are used for only internship activities planned to last less than 3 months for students of associate degree program. Additional payment is not paid for monthly donation accounting and excursion tickets for undergraduate and postgraduate students.
· The following table will be used for the periods exceeding the full month but cannot be completed to full month (e.g. four months and ten days)
· For the periods exceeding the full month, donation is given equal to price of the period which cannot be completed to full month given in the following table:

20 % of the total donation calculated for the period while students are abroad is not paid to students not intentionally fulfilling the responsibilities determined in Training Agreement and not participating the internship program in the host institution; the rights of making more cutback and asking reclamation of the payment are reserved accordingly failure and nonliability of student. Unpaid and/or reclaimed amounts are refunded to donation resources.
In case of departure from city/country in which student is a host for a while, apart from holidays, without no concern with internship activity, donation cannot be paid. Even if it has been paid, donation payment for these periods is reclaimed.
CALCULATING THE AMOUNT OF DONATION
Erasmus donation amount is calculated by multiplying monthly donation amount mentioned above for destination country by the duration (month).
Additional weekly donation is paid to short-term vocational high school students in their internship activities that last shorter than 3full months in addition to 2-month payment. 75 % of costs of trip abroad (connecting travels included) and visa are paid to student additionally.
Weekly donation accounting and additional payment for visa and trip are not made for undergraduate, postgraduate and doctorate degree students. Even if these students could not fulfill the minimum duration because of compelling reasons, average 3-months donation is applied and costs of trip/visa are not paid.

Erasmus Donation : 3,25 x 381 = 1.238,25

Departing Country : Lithuania
Activity Duration : 2 months 2 weeks 3 days
Erasmus Donation : 520 + (65x2) + (9,28x3) + 75% of total price of trip abroad and visa
Erasmus Donation : 677,84 + 75% of total price of trip abroad and visa
IN WHAT WAY IS THE DONATION PAID TO SELECTED STUDENTS?
Internship Mobility Agreement including minimum amount of donation is signed with selected students. The payments determined in Agreement are paid as two installments:
-At most 100% of the total donation calculated pursuant to envisaged activity duration is paid as a first installment before students going to enterprise in which they make internship.
-If available, the second installment is paid by considering the level of fulfilling achievement and responsibilities; and by considering complying with the exact date involved in "Certificate of Attendance" given to students and passport entry-exit. It is possible to make cutback for donations of students who not fulfilling the responsibilities and unsuccessful.
-Payments are Euro-denominated.
IS THE DONATION AMOUNT ASSIGNED TO OUR INSTITUTION SUFFICIENT FOR ALL SUPPLIED STUDENTS?
Our office claims donation for all students applied to Program and checked for eligibility check of application, but it cannot be possible to suffice for all students with the donation assigned to our institution.
WOULD I LOSE MY RIGHT OF DONATION IF I TURNED BACK WITHOUT COMPLETING THE MINIMUM INTERNSHIP DURATION?
Erasmus Erasmus Placement Mobility should be at least 3 months. Students are not allowed to time discount without compelling reasons. The donation amount equaled to the internship period of students in abroad is paid to donated students on condition that they certify the compelling justification about why they return without completing the internship activity, even if the donation amount equaled to the rest duration was paid to students, students should pay back the given amount. When student does not complete their internship program, student would not get any donation; if she/he gets, the whole amount of the payment is asked for paying back from students. In this case, student is reported to National Agency as student without donation and she/he cannot benefit from Erasmus program again.
National Agency decides which conditions are compelling reasons for returning.
Not Receiving Placement Mobility Donation for the second time:
A student can receive only one Erasmus Placement Mobility donation. A student participating in internship activity without donation before can benefit from the activity again providing not to get donation. Receiving the donation for Student Mobility for Studies is not an obstacle for receiving placement mobility donation. Students can receive donation one for each activity. However, the priority of giving donation is for the student not receiving donation before.
Condition for Being Erasmus Student without Donation:
Students can become Erasmus student whenever they want. Students without donation are evaluated by overall assessment with other applications and undergo the same process with students with donation.
Enlarging the Activity Period:
Enlarging the activity period can be possible only in current academic year. Enlarged period cannot extend the date from September 30, 2013.
